We’re looking for a highly organized and people-oriented Workplace Coordinator, based at the office in Wroclaw, to help us maintain and enhance a vibrant, safe, and well-functioning office environment across locations.
The Role
As Workplace Coordinator, you’ll be the go-to person for ensuring our physical spaces run smoothly and are aligned with our culture and operational needs. You’ll support day-to-day operations in the office, coordinate cross-location initiatives (including large events like our annual Integration Party), and contribute to workplace experience and sustainability efforts.
Key Responsibilities
Office & Facility Management
- Ensure our Wrocław and Copenhagen offices are welcoming, well-equipped, tidy and smoothly operating.
- Coordinate with vendors for cleaning, maintenance, catering, office supplies, and repairs.
- Handle office access and security systems in collaboration with IT and HR.
- Play a central role in planning and executing internal as well as cross organisation events.
- Manage workplace-related documentation (contracts, inventories, asset tracking).
- Support travel logistics, office moves, and new hire workspace setup.
- Collaborate with Finance and HR on budget tracking, invoices, onboarding & offboarding assistance.
- Ensure adherence to health, safety, and environmental standards at both office locations.
- Act as a cultural ambassador, helping to foster connection and well-being across distributed teams.
- Support the implementation of sustainable workplace initiatives (e.g. recycling programs, energy-saving setups).
To meet the challenges in the team, you need:
- 2+ years of experience in a workplace, office coordination, or administrative role.
- Strong organizational skills and ability to manage tasks across multiple locations.
- Positive, proactive, and service-minded with strong interpersonal communication skills.
- Comfortable using tools like Google Workspace, Slack, Jira.
- Fluent in Polish and English (minimum B2 level), both written and verbal.
It will be great if in addition you present:
- Strong logical sense and a natural ability to collaborate.
- Experience planning internal events or coordinating with external venues.
- Experience with corporate travel platforms.
- Knowledge of workplace sustainability practices.
